Introduction
This privacy notice explains how Service Cops collects and uses personal data, and describes the rights you have with respect to your personal data.
In this notice, “Service Cops”, “our”, “we” or “us” refers to Service Cops Limited.
We respect your right to privacy, it is very important to us, and we take the protection of your privacy and ensuring the security of your Personal Data very seriously. We are committed to the fair and transparent Processing of your Personal Data. This Privacy Notice describes how we process your Personal Data, explain your rights in relation to the Personal Data we process, and states our commitment when Processing your Personal Data in a compliant, ethical, and secure manner.

What data is covered?
In this privacy notice, “personal data” means any information relating to an individual who can be identified, directly or indirectly, in particular by reference to identifier such as a name, an identification number, financial information, location data, sex, and age among others. Personal data also refers to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of an individual.
Your rights in personal relation data
- You have the following rights in relation to your personal data:
- To access the personal data held by Service Cops about you.
- To have your personal data corrected, for example, if it is incomplete or incorrect.
- To opt out of receiving marketing communications at any time.
- To restrict or object to the processing of personal data or request erasing personal data (in certain circumstances and subject to applicable law).
- To receive a copy of the personal data which you have provided to Service Cops, in a structured, commonly used and machine-readable format (known as “data portability”) (in certain circumstances and subject to applicable law).
- Where you have provided personal data voluntarily, or otherwise consented to its use, the right to withdraw your consent.
- The right to complain to a data protection authority (see section “Complaints”).

Sources of the personal data
We collect Personal Data directly from you, for instance, when you buy or use any of our products or services, visit our website, interact with our customer services unit.
In addition to that, we also collect Personal Data indirectly from third parties such as
- Financial Institutions;
- Telecommunication Companies;
- Credit check or vetting agencies;
- Social media platforms;
- Resellers in respect of Personal Data of customers, users and suppliers; and
- Third parties providing supplier and reseller references.
Purposes for which we process personal data
We will use your Personal Data for purposes of:
- Verification: We process Personal Data necessary to verify your identity when you are purchasing our products and services, when you contact us, or when we contact you.
- Credit checks: We perform credit checks, including using the services of a credit bureau, where you a applying for a contract for products and/or services with us, and to assess your application.
- Contracting and processing orders: We process your Personal Data in order to conclude and contract, to process your request to provide products and services and to keep you updated with your order process, and to provide our products and services to you.
- Billing and collection: Your Personal Data is processed to perform billing of your account for your use of our products and services.
- Monitor and Improve services: We perform research and statistical analysis on our customers’ and/or users’ behavior for purposes of monitoring the performance of our products and services, and maintaining or improving our products and services to you.
- Improve value proposition: We analyze our customers and/or users’ preferences and interests based on their use of our websites, mobile applications, products, services, and/or social media interacts to improve on our services, products, to perform marketing, online behavioral advertising and to develop new services or products which may be suitable to you.
- Marketing: We use your Personal Data to promote and/or market our products and services to you by means of text and voice messaging, email, post, telephone calls, or through social media campaigns, but only if this is permitted in terms of our policies, local regulations and you have opted-out from the type of direct marketing communications (e.g., where you have opted-out of certain categories of direct marketing but not all categories of direct marketing).
- Fraud and crime prevention: We process your Personal Data to detect and prevent fraud or criminal activity through the use of our products or services.
- Security: We process your Personal Data to prevent Personal Data Breaches, and to safeguard our IT systems, networks, assets, buildings, and places or work.
- Compliance and Reporting: We process your Personal Data where this is required to comply with any legal obligations imposed on us by applicable law or in response to directives from law enforcement or court orders (for example “know your client” requirements) and to discharge any prescribe reporting obligations.
- Customer Service: We process your Personal Data to provide you with customer services including to respond to any question, query, requests, concerns, complaints you may have about us, including our products, services, employees, or our processing activities.
We will not further process Personal Data for any purpose that is incompatible with the original purpose that the Personal Data was collected for unless:
- such further processing is authorized in terms of applicable privacy laws;
- we have obtained your consent to the further processing;
- the further processing is necessary to comply with an obligation imposed by local regulatory requirements or for conducting proceedings in a court or tribunal; or
- it is for scientific or historical research purposes or statistical purposes.
Retention
Our policy is to retain personal data only for as long as it is needed for the purposes described in the “Purposes for which we process personal data.” We shall also follow the requirements set in our data protection and privacy policy.
We will ensure that Personal Data which is no longer required, or which we are no longer authorized to retain, is as soon as reasonably practicable, de-identified or destroyed through secure means, alternatively through permanent erasure by appropriate and effective mechanisms.
Transfers of Personal Data
Personal Data shall only be transferred in line with the applicable laws of Uganda and the guidelines in our Data Protection and Privacy Policy.
Security
We protect the confidentiality and security of information we obtain in the course of our business. Access to such information is limited, and policies and procedures are in place that are designed to safeguard the information from loss, misuse and improper disclosure.
Changes to this privacy
We will occasionally update this privacy notice to reflect changes in our practices and services. When we post changes to this privacy notice, we will revise the “last updated” date at the top of this privacy notice.
If we make any material changes in the way we collect, use, and share personal date, we will notify you by prominently posting notice of the changes on the website. We recommend that you check this page from time to time to inform yourself of any changes in this privacy notice.
